Administrative Lead

Nature & Scope

  • Prime objective is to assist manager/supervisor in all administrative tasks associated with the day-to-day operation of the branch
  • Processing and tracking all booking orders, work orders and associated invoices
  • Processing and tracking local purchases, and ensuring associated documentation are forwarded to the appropriate personnel
  • Checking staff expense claims and submitting to head office
  • Responsible for keeping branch records for expenses and updating them accordingly
  • Review all employee information for personnel and ensure accurate and timely reports are forwarded to Head Office
  • Responsible for updating and maintaining vehicle information. Keeping computer and Head Office updated on all changes and whereabouts of spare vehicles
  • Monitor and ensure inventory is received correctly based on requests sent for processing to Head Office. Follow up on all discrepancies
  • Processing employees’ time sheets on the “time sheet summary” and submitting same to payroll administrator on regular basis
  • Provide Manager with assistance with regards to personnel matters; i.e. sick time and vacation time by keeping accurate and updated files.
  • Assist in preparation of quotes and proposals
  • Strive to maintain the highest level of customer satisfaction
  • Process all documents with accuracy and efficiency
  • Will be required to act independently with a high level of judgement, discretion & initiative
  • Maintain a System to ensure that all deadlines are met
  • Coordinate the flow of information between the customer and the technicians
  • Provide information on office procedures, coaching to other administrative staff within the group and assistance to other position in our business group
  • High level of interpersonal & communication skills, both verbal and written, including tact and diplomacy
  • Ability to make judgement and decisions within the prescribed guidelines
  • Strong organizational skills with a high attention to detail
  • Ability to work independently in a busy environment with conflicting priorities and deadlines, with the ability prioritize multiple projects
  • Excellent knowledge of office practices, procedures and routines

Qualifications

  • 2 year diploma in secretarial/administration or business program or equivalent work experience
  • 2-5 years of experience
  • Excellent knowledge of Microsoft Office Suite
  • Organizational Skills would be an asset
  • Good Customer Service Skills

Nature & Scope

  • Take direction from supervisors, coordinators, and/or support staff as defined by company policy
  • The fire alarm service representative will be required to perform duties of maintenance, inspections and repairs on fire alarm, fire extinguisher, emergency lighting systems and other life safety systems as required
  • The fire alarm service representative will ensure that the highest standard of system reliability and client satisfaction are met
  • Perform verifications on fire alarm systems
  • Complete work orders and report in a timely fashion
  • On-call for emergency service calls/work
  • Schedule & prioritize inspections, VI’s and service calls
  • Act as liaison between customer & Troy
  • Understand and practice applicable ULC, CSA and Canadian Electrical codes and standards which apply to their area

Qualifications

  • Two years of community college in electronics is desired
  • Previous training/experience in fire alarm systems would be an asset
  • Proficiency in the use of computers
  • Must possess a valid driver’s license and have a clean driving record
  • CFAA Registered Fire Alarm Technician in the province of Ontario is a requirement
  • Exceptional customer service skills
  • Organizational skills
